Install Portal ("we," "our," or "us") operates the Install Portal web platform ("Portal") and the FieldOps mobile application ("App"), collectively the "Platform." This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Platform.
2. Information We Collect
a. Information You Provide
- Account Information: Name, email address, phone number, and role (provided by your organization's administrator).
- Authentication Data: Login PIN, password, and biometric authentication preferences (Face ID / fingerprint). Biometric data is stored only on your device and is never transmitted to our servers.
- Job Documentation: Photos of installations, serial numbers, notes, hazard assessment forms, and customer signatures submitted through the App.
- Change Orders: Descriptions, photos, and cost information submitted for scope change requests.
b. Information Collected Automatically
- Location Data: GPS coordinates collected when you clock in and clock out at job sites. Location is used solely for work verification and is only collected during active work sessions. We do not track your location outside of work hours.
- Device Information: Device type, operating system version, and battery level (used to optimize sync scheduling).
- Push Notification Tokens: Device tokens used to deliver work-related notifications such as schedule changes and job assignments.
- Usage Analytics: Installation timing data, completion rates, and performance metrics aggregated for your profile.
3. How We Use Your Information
- Service Operation: To manage job assignments, track installations, process change orders, and generate reports.
- Work Verification: GPS data verifies clock-in/out locations for accurate time tracking.
- Performance Analytics: Aggregated timing data helps you and your organization track efficiency and workload.
- Notifications: To send you job-related alerts, schedule updates, and change order approvals.
- Safety Compliance: FLHA (Field Level Hazard Assessment) data is stored for workplace safety record-keeping.
4. Data Sharing
- Your Organization: Your employer/contracting organization has access to job data, photos, clock records, and performance metrics through the Portal.
- Service Providers: We use third-party services for cloud hosting (Vercel), database management (Neon PostgreSQL), file storage (Vercel Blob), and email delivery. These providers process data on our behalf under strict data processing agreements.
- No Sale of Data: We do not sell, rent, or trade your personal information to third parties for marketing purposes.
- Legal Requirements: We may disclose information if required by law, regulation, or legal process.
5. Data Retention
We retain your data for the duration of your organization's active subscription. Job records, photos, and completion data are retained for a minimum of 7 years for compliance and warranty purposes. Upon account deletion, your personal information is anonymized within 30 days, though anonymized job records may be retained for organizational reporting.
6. Data Security
We implement industry-standard security measures including encrypted data transmission (TLS 1.3), encrypted storage, JWT-based authentication, and secure credential storage on your device (iOS Keychain / Android Keystore). Access to production data is restricted and monitored.
7. Your Rights
- Access: You can view your personal data through the App's Profile section.
- Correction: Contact your administrator to update incorrect personal information.
- Deletion: You can request account deletion through the App (Profile → Account → Delete Account). Your personal data will be anonymized within 30 days.
- Data Export: Contact your administrator to request an export of your data.
- Withdraw Consent: You can revoke location or camera permissions at any time through your device settings, though this may limit App functionality.
8. Children's Privacy
The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via in-app notification or email. Your continued use of the Platform after changes constitutes acceptance of the revised policy.
